Re: Parent Request for IEP Team Meeting, [Child's Name], [Grade]

Dear [Case Manager],

I am writing to request an IEP team meeting for my child, [Child's Name], a [grade] student at [School Name]. Under 34 CFR 300.322 and 300.324, a parent has the right to request an IEP team meeting at any time, and the school must convene one when a parent requests it.

The reasons I am requesting the meeting are:
- [Reason 1, for example: I have concerns about [Child's Name]'s progress on the [reading / behavior / social skills] goals.]
- [Reason 2, for example: I would like to discuss adding [a specific accommodation or service].]
- [Reason 3, for example: There have been changes at home or in [Child's Name]'s health that the team should know about.]

I am requesting:
1. A meeting date with reasonable advance notice (34 CFR 300.322(a)(1)), scheduled at a mutually agreed time and place (34 CFR 300.322(a)(2)).
2. Confirmation that all required IEP team members will attend, including the regular education teacher, special education teacher, district representative, and someone who can interpret evaluation results.
3. Copies of any reports, progress data, or work samples the team will reference, sent to me in advance so I can review them.

Please confirm the meeting date in writing within five business days. The best way to reach me is [phone / email]. I am available [days/times] in the next few weeks.

Thank you.

Sincerely,

[Parent's Name]

Emergency IEP meeting request

When to use: Use when something has changed urgently: a serious behavioral incident, a regression in skills, a medical change, a major life event, or a service that has stopped being delivered. Calls for a meeting on a compressed timeline.

ARD meeting request (Texas-specific)

When to use: Use in Texas, where IEP team meetings are called ARD (Admission, Review, and Dismissal) meetings. The framework is the same as IDEA but the terminology is state-specific.

Mid-year addendum request

When to use: Use when you want to amend the IEP without holding a full team meeting. Under 34 CFR 300.324(a)(4), parent and district can agree in writing to amend the IEP without a meeting, but the parent must consent to the amendment-without-meeting process.

Annual review pre-meeting positioning

When to use: Use before the annual IEP review to put your priorities, concerns, and proposed changes in writing. Ensures your input is on the record and the team comes prepared to discuss them.

Frequently asked questions

Can I request an IEP meeting at any time?
Yes. Under 34 CFR 300.324, parents have the right to request an IEP team meeting at any time, and the school must convene one within a reasonable time. The annual review is the school's obligation; additional meetings are the parent's right.
How much notice must the school give me?
Under 34 CFR 300.322, the school must provide reasonable advance written notice with the time, place, purpose, and who will attend. Many states define this as at least 5 to 10 school days, though IDEA itself says only 'reasonable.'
Can I bring someone to the meeting?
Yes. Under 34 CFR 300.321(a)(6), the parent may bring 'other individuals who have knowledge or special expertise regarding the child.' This includes advocates, evaluators, attorneys, family members, or therapists.
What is an ARD meeting?
Texas uses ARD (Admission, Review, and Dismissal) terminology for what IDEA calls the IEP team meeting. The committee functions the same way and is governed by the same federal requirements plus Texas-specific 19 TAC §89.1050 provisions.
Can I amend the IEP without a meeting?
Yes, under 34 CFR 300.324(a)(4). If the parent and district agree in writing, the IEP can be amended without convening a full team meeting. This is useful for small, agreed-upon changes between scheduled meetings.
